Overview

Aside from the various settings in the User Master File, a user’s access rights (i.e. what they can do in SpendMap) is determined by the menus and pop-up prompts that are available to the user.

Each user (or group of users) can have a customized menu layout, with all or just some of the available menu options and pop-up prompts.

Security and Ease of Use

Menus and pop-up prompts that are not available to the user will be completely removed from the user’s field of view. In addition to providing a security function, eliminating unneeded menus and prompts makes SpendMap easier to use. This is especially true for casual (occasional) users, such as Requisitioners, who only need access to a few options.

Menus for Individual Users or User Groups

If a user has unique needs, you can build a menu layout just for them. Theoretically, every user in SpendMap could have their own menu layout and access rights.

More realistically, however, many users will share the same access rights, in which case you can either copy menus individually from one user to another or you can assign users to “groups” and then you can mass-update all users in the group, either during initial user setup and/or if the group’s rights change in the future.

Steps for Building Menus for Users

Whether you are creating a unique menu for an individual user or a “master” user to be the basis for other users in a group, the two-step process is the same. First you create menus for the user (or you could copy an existing user’s menu), then you can add or remove individual menu options and pop-up prompts.

IMPORTANT - To ensure that users do not gain access to areas that they are restricted from, you must ensure that only the appropriate users have access to the utilities described in this section.
