SpendMap can send automatic notifications (messages) to system users and suppliers when certain events occur, such as a message to a manager to let them know that they need to approve a requisition, a message to the requisitioner if their requisition was rejected, an e-mail to a supplier to let them know that an order was canceled, and so on. 

List of Notifications/Messages

There are over 30 separate notifications (messages) available.

Some messages are always sent while others can be enabled or disabled in the User Master File and the Request-By Master File.

Adding Comments

In most cases, notifications are sent in the background and the user that performed the task that triggered the automatic notification will not be aware that it is happening. However, in some cases, the user will have an opportunity to add additional comments to the system-generated message. For example, when a manager rejects a requisition, they will be prompted to add a comment to the system-generated message that will notify the Requisitioner.

Reminders

In E-Mail Settings, you can optionally configure the system to send periodic reminders (additional messages) if the recipient does not take action based on the original notification in a predetermined number of days. For example, you may want to remind managers to approve requisitions if they have not done so within, say, three days of the original notification.

Message Delivery Options

Automatic notifications for internal users of the system (as opposed to suppliers) can either be delivered in the internal messaging system (which requires them to log into SpendMap to get their messages) or messages can be sent by e-mail.

You can specify your message delivery preference in E-Mail Settings.

Hyperlinks in Messages

If you are using the web-based version of SpendMap and if messages are being delivered by e-mail (as opposed to the system’s internal messaging system), for messages that instruct users to take action in the system (e.g. “You have new requisitions to approve”), the body of the e-mail notification can contain a hyperlink so that the recipient can quickly get into the system to do their work.

You can specify the target URLs for the hyperlinks in e-Series Settings and Rich Web Client Settings.
