PURCHASING > Utility > View Active Users

This utility displays a list of users that are currently logged in and what they are doing in the system.

From here you can also manage user sessions, as outlined below.

Related settings

Some of the features offered by this utility require that Priority Maintenance is enabled.

Unattended Mode

If you run this as an unattended process, it will create a file called ACTIVITY.LOG in the /SPOOL subdirectory under the main SpendMap folder. This is a comma-delimited (CSV) file with the following fields; User Id,User Name,Operation,Last active,Type,PID

User Activity Screen

The Last Active column will be accurate to the minute if you are using the priority maintenance feature, otherwise it will indicate when the user launched a menu option or processed their last transaction.

Description

[EXIT]

•Exit to the main menu.

[REFRESH]

•Refresh/update the screen.

[SUSPEND SYSTEM]

•Invoke the Priority Maintenance Function ALL users in the system.

If users are at the Main Menu, their sessions will close automatically, otherwise if they are actively working in the system, they will receive a message asking them to exit the system.

If active users do not respond to the request to exit the system within a short period of time, their sessions will be suspended, and they will resume where they left off when the Priority Maintenance is finished.

Also, other users will not be able to log into SpendMap until Priority Maintenance is finished.

•IMPORTANT: When maintenance is complete, you must select the [Unlock System] button to allow other users to resume their work in SpendMap.

•IMPORTANT: Only the user who suspended the system will be able to log into the system when it is suspended (per above, other users will not be able to log in while the system is suspended). Therefore, if you need to exit SpendMap to perform an external maintenance operation, in order to get back to this utility to unlock the system, you must log back into SpendMap as the same user. The definition of the "same user" differs based on the front-end client you are using.

•If you are using the Rich Web Client, you can log in using any PC/workstation, using the same SpendMap User ID as you were using when you suspended the system. Note that you must use your User ID code, not your email address. You can see your User ID in Help > About.

•If you are using the Desktop Application, you can log in using any SpendMap User ID, provided you log in on the same PC/workstation that you were using when you suspended the system.

[LOCK-DOWN SYSTEM]

•Same as the [Suspend System] button, above, only user sessions will NOT be suspended if users to not respond to the request to exit the system. That is, the system will not be locked-down until all users exit SpendMap.

•Use this when zero user activity is required to perform a maintenance operation (e.g. restarting server).

•IMPORTANT: When maintenance is complete, you must select the [Unlock System] button to allow other users to resume their work in SpendMap.

[LOGOUT INACTIVE E-SERIES USERS]

•If you are using the e-Series Employee Storefront and Mobile Website, this is used to logout e-Series users that have not had any activity in a user-specified number of minutes, thereby freeing up their user licenses.

•Normally inactive e-Series user licenses are reclaimed (recycled) after the number of minutes specified in e-Series Settings but this button can be used to expedite the process.

•Important: If an e-Series user has entered data but has not yet saved their work, logging them out will result in a loss of the unsaved data.

[TERMINATE USER SESSION]

•Do not use this unless instructed by Tech Support.

•You must be a SpendMap System Administrator to use this.

[TAKE CONTROL OF A USER SESSION]

•If you are using the Rich Web Client, this is used to take control of (take over) another user’s active session. This might be used if a user closes their web browser without first exiting the system, thereby leaving their session open/running.

•Once you take control of a user’s session, you will be logged on as that user and will see the screen that they were last using. A warning indicator will remind you that you have taken over their session. You can then complete their task or log out, as needed.

•Normally the user would pick up where they left off the next time they logged in, so this utility should only be used if their open session is interfering with another task, such as when maintenance needs to be performed.

•You must be a SpendMap System Administrator to use this.

[START/STOP ALL SERVICES]

•Can be used to start/stop various SpendMap services from with the application itself, which might be more convenient for you than using the Windows Services Manager on the server itself.

•This will start/stop whichever services are installed for your system, including the e-Series service, the e-mail server, and the fax server.

•You must be a SpendMap System Administrator to use this and you must have the appropriate rights/access in Windows to control services. If not, you can start/stop the services manually using the Windows Services Manager on the computer where the services are running.
