PURCHASING > Purchase Orders > Process New POs > Process my POs
This is used to process (and optionally print) one or many new Purchase Orders that are in your PO Work Area. Alternatively, you can also process new POs by selecting "Process Now" when you exit your Work Area.
Depending on what you selected in the Send Document Via field on the Purchase Order Header screen for each PO, when POs are processed they may be sent to the supplier electronically (e.g. by e-mail, etc.) and you will have the option to print hard copies as well. For details, see Sending Documents Electronically and Document Forms.
When POs are processed, they will be removed from your PO Work Area and all applicable areas in the system will be updated with the new POs including PO Status, Item History, and various other areas and reports.
Only POs that have a status of “OK” on the PO Work Area Summary Screen can be processed.
POs that cannot be processed include:
•POs that have no line items.
•POs that are “on-hold” in your PO Work Area.
•POs that have not been verified (validated).
In addition, POs that exceed the maximum dollar amount specified in PO Processing Settings will not be processed with this utility. To process those POs that exceed the maximum PO dollar amount, use Process POs Over Limit.
Finally, if you are using the optional cost center or G/L budgeting features, you may either be warned or stopped altogether if you try to process a PO that exceeds budget, depending on the budget settings.

If you are using the Advanced PO Modification Utility, when processing Change Orders, you will notice that additional information appears on the PO form, including change order value, previous value prior to changes, etc.
There are also options available to determine how Change Orders will print. See PO Processing Settings for details.

You can optionally print multiple copies of POs (up to 5 copies) and, depending on the design of your PO form, each copy may have different information (e.g. internal copy, supplier copy, acknowledgment copy, receiver's copy, etc.).
In addition, there are supplemental documents that can optionally print when POs are processed, including the Split-Ship Report, the Split-Charge Summary and one or more Terms and Conditions pages.
For details, see PO Printing Settings.
