This utility is used to view the current status and details of processed Purchase Orders and related information. The information is updated automatically when transactions are processed that relate to the PO, such as receipts, invoices, etc.

You can see the current status and details of each PO line item, including the amounts purchased, released, received and invoiced.

If you use Change Orders, you can review the change history of a PO and you can see a copy of each version of the PO.

NOTE: You may be restricted as to which POs you can view with this utility (e.g. you may only be able to view your own POs, your Cost Center's POs, etc.), based on the Document Access setting in the [Permissions] folder of the User Master File.

Questions & Options

1.Select a menu option to either view the status of Current/Open POs or Archived POs.

 

PO Summary Screen

This screen shows a summary of the Purchase Orders that match the search filters at the top of the screen.

Double-click on a PO to drill into the details of that order or use the [Quick search by document number] button at the bottom of the screen to jump right to a specific PO.

PO Status Screen

This screen shows a summary of the entire PO (top-right of the screen) and the status of each line item at the bottom.

A (_document) symbol in the Note Column indicates that the item has internal notes or file attachments. Point to the (_document) symbol with your mouse to preview the notes or go to the details of the line item to view or update the notes or attachments.

Line Item Details Screen

PO Status Information for each line item is organized into a series of folders (tabs)...

Folder

Description

STATUS

Shows how much of the line item has been Purchased, Released, Received and Invoiced. You can also see the details of these related transactions from here.

DETAILS

Shows most of the fields on the PO, such as the supplier, buyer, account coding, etc.

COMMENTS

Shows system-generated comments/remarks for this PO line.

MISC

Shows Blanket PO details, if applicable.

DESCRIPTION

Shows the full description of the line item.

PO CHANGE LOG

Shows changes made to the line item since it was originally processed.

Status Folder

This folder shows how much of the line item has been Purchased, Released, Received and/or Invoiced.

Details Folder

This folder shows most of the fields on the PO, such as the supplier, buyer, account coding, etc.

TIP: You can hyperlink to the details of many of the master file codes that show on this screen if you need to see additional details (e.g. contact info for a supplier, etc.). This can be configured in Master File Display Options.

If "*" or "**" appear in the G/L or Cost Center Fields, click the "view split charges" hyperlink to view the split-charge details of the line item.

Comments Folder

This folder shows system-generated comments/remarks for this PO line. These comments are updated automatically.

Misc Folder

This folder shows Blanket PO details/restrictions for the PO line item, if applicable. For details, see Entering Blanket Order Lines.

The "Other" section is used for custom utilities.

Description Folder

This folder shows full description of the line item.

TIP: To copy the text, right-mouse click to access the Windows Clip board.

PO Change Log Folder

This folder shows changes made to the line item since it was originally processed.

This feature can be customized in PO Processing Settings.

If you have enabled version tracking, click [PO IMAGES] to view copies/versions of the PO since it was originally processed or [CHANGE ORDERS] to view copies of any Change Orders that were processed.
