INVENTORY CONTROL > Usages from Stock > Cancel a Processed Usage > Cancel a SINGLE usage
This is used to cancel/reverse an inventory usage, thereby putting the item back into stock (i.e. increasing inventory levels for the item) and removing the charge from the cost center’s history/budget and all related reports.
Alternatively, you can process a Stock Return, which puts the item back into stock while keeping the original usage transaction in the system for references/audit purposes.
You can also cancel many usages in a date range.
Steps
1.On the Usage Cancellation Screen, enter the information/fields used for the original usage (i.e. the fields you entered on the Usage Detail Screen when the usage was posted), then click [NEXT].
| In order for SpendMap to find the correct usage transaction to cancel, you must enter all fields exactly as they were entered for the original usage. It may be helpful to print the Usage Log for reference. |
If in Inventory Options you have selected to value inventory/usages based on FIFO value, this is used to determine the valuation of the item being returned to stock (i.e. the value for charging to Cost Center history, inventory valuation, etc.).
If you select to “maintain the value”, SpendMap will keep track of the original usage value of the item (the value it came out at when the original usage was posted) and, the next time the item is removed from stock, the same value will be used. This option might be used if you are strict about ensuring that the price paid for items is the exact price that is charged to Cost Centers when items come out of stock (which is typically why you would select to charge out usages based on First-In-First-Out value).
If you select “create a new value”, the next time the item comes out of stock, SpendMap will recalculate the usage value based on current information and recent transactions in the system at that point in time. This option might be used if the original usage occurred a long time ago and the current/recent pricing for the item is significantly different than when the original usage took place (assuming that significant price fluctuations for usages are a concern for you).
Reminder: This will affect inventory valuation while the item remains in stock as well, not just the value charged to the cost center when the item is used again in the future.
Related utility: If you initially select to “maintain the value” but later change your mind, you can use Reset Unused Usage Cancellation/Return Value to discard the saved value for items that have been returned so that a new usage value is calculated the next time the item is used (as if you had selected “create a new value” for all returned items.

2.If there is more than one usage transaction that matches the fields that you entered, you will be prompted to select a usage to cancel.
3.If the selected usage transaction is no longer in the Usage Log, you will be prompted to confirm the cancellation. While there are valid reasons to cancel a usage that is no longer in the Log (e.g. you may be cancelling a very old usage from before the Log was last purged), the absence of the usage in the Log is reason to pause for thought.
