Asset Verification Work Area

From time to time, you may want to perform a physical inventory count of your assets to make sure that all assets are present and accounted for. When you do, you can enter the details of each asset, including the physical location, in the Asset Verification Work Area.

When the Work Area is processed, the "Date Verified" will be updated for each asset, which will show on various screens and reports, such as the Last Verification Date by Asset Report. You can use the Report of Assets to be Verified to see which assets are due to be counted/verified.

You can also update the Location of your assets and change the Status and other fields when processing an asset count.

Asset Verification Work Area Summary Screen

This screen lists one line for each pending asset count. Only lines with a status of “ _check ” can be processed.

Asset Verification Details Screen

This screen is used to enter the count details for each asset.

Fields

Status	Description
	•Entry is ready to be processed.
	•Entry has not been completed (i.e. missing details) and is not ready for processing.
	•Entry was [DELETED] and will be removed when the batch is processed.
	•An error occurred when trying to process the entry. If this occurs, the entry will remain in the Work Area. To view the applicable error message, double-click on the line.

Button	Description
[DONE]	•Exit the Work Area and return to the Main Menu. •Entries will remain in the Work Area until processed.
[ADD]	•Add a new asset to the list. This takes you to the Asset Verification Details Screen.
[MODIFY]	•View or modify the selected asset. Alternatively, double-click on the line. This takes you to the Asset Verification Details Screen.
[DELETE]	•Deletes the selected asset. Click [DELETE] again to undelete the line. •A ““ symbol will be displayed in the Status Column indicating that the line will be removed when the batch is processed.
[FIND]	•Find/locate an entry by searching by the Asset Code.
[DEFAULT]	•This can be used to populate blank fields for all entries in the Work Area instead of entering the details for each asset on the Details Screen. •This is most commonly used when count information is imported with missing information/fields for some or all transactions, for example, if the Date Verified, location, counted-by or other fields were not included in the imported data set.
[SCAN BARCODE]	•Scan the asset’s barcode, as an alternative to entering the Asset Code manually on the Details Screen. •See also Scanning Barcodes.

Field	Description
Asset code	•The asset code that was counted.
Component ID	•The asset component that was counted, if the asset is set up with multiple components.
Date verified	•The date that the asset was counted/verified.
Verified by	•You can enter the person who performed the count or you can select from the Request-By Master File.
Asset fields to update	•You can optionally modify the asset's Location, Site, Status and Contact information. If you do, these fields will be updated in the Asset Master File when the transaction is processed.
