Getting Started with Inventory Control

To use the Inventory Control Module, you first need to enable the module and set up your primary Stock Cost Center in Inventory Options.

You might also want to review the other settings in Inventory Options, which will affect various features of this module, such as how inventory will be valued, etc.

Setting Up Your Items

Items in the Item Master File can be either stock or non-stock items.

So you need to indicate which items will be kept in stock, using the "Maintain Stock?" check box in the [INVENTORY/LOCATIONS] Folder of the Item Master File.

Inventory Locations

SpendMap can keep track of inventory levels, open orders and other transactions by location (stock room, warehouse, etc.).

If all your stock is in a single location or if you just aren't interested in segregating your inventory data by location, no additional setup is required and you can just start using the Inventory Module.

However, if you will be using multiple locations, you need to add the locations to the Location Master File.  

You will then be able to select the "Multiple Locations" option in the [INVENTORY/LOCATIONS] Folder of the Item Master File (for those items that are kept in multiple locations).  You can then enter location-specific information for each item and otherwise code each transaction (purchase, receipt, usage, etc.) with the applicable location code, so that SpendMap knows which location's inventory balances to update with each transaction.

Prerequisites

While it's technically not mandatory, it would be unusual to use the Inventory Control Module without first implementing the Purchasing Module and the Receiving Module (stock is most commonly updated when you receive against a Purchase Order, although you can enter manual adjustments to increase inventory levels if you prefer).
