PURCHASING > Setup system> Purchase order settings > PO printing settings > Encrypt new user signatures
This utility is used to prevent unauthorized use of electronic signatures by encrypting the image files that contain the electronic signatures.
If you set up your electronic signatures in SpendMap itself (using the [MANAGE USER SIGNATURES] button in PO Printing Settings), the signature files will be encrypted automatically and so there will be no need to use this utility.
However, depending on the number of users and, therefore, the number of signature files, it may be faster/easier for you to manually add the signature files to the /GFX folder. Signature image files are bitmap (.BMP) files that have filenames that match the user's ID code (e.g. JOHN.BMP).
Once the signature files are added to the /GFX folder, you must run this utility for the signatures to print on Graphical Forms.
When this menu is run, new signature files will be encoded such that ONLY that user can print their signature on documents.
Without access to this utility, if someone were to manually copy, rename or replace signature files in the /GFX folder, the signatures would not print on documents.
You must be a SpendMap System Administrator to use this utility. Nevertheless, you should make sure that access to this utility is appropriately restricted.
DISCLAIMER: While this utility can ensure that SpendMap prints only appropriate signatures on POs and other documents, it cannot prohibit fraudulent behavior outside of the system itself. As with all legal contracts, all parties should take steps to confirm that POs and other documents are properly executed.
