SpendMap User Guide (v14.8)

PURCHASING > Utility > Purge and Archive History > Purge inactive items

This utility deletes items from the Item Master File that have not been accessed since a user-defined cut-off date. For example, if you have not used an item in, say, three years, you may want to delete it.

You may want to delete/remove inactive items to improve system performance, shorten item-related reports, etc.

You can specify the type of transaction to consider for inactivity (e.g. last purchase, last receipt, etc.).

IMPORTANT:  Data that is purged is non-recoverable. If you are purging information that may be required for audit purposes, ensure that the appropriate reports are printed and retained for your records and/or a backup is performed before the data is purged.

Noteworthy Questions & Options

There are various filter options to limit which inactive items are deleted. Regardless of your selections, items will only be deleted if they have not been accessed since the cut-off date entered, based on the selected transaction type.

If you include Stock Items, you have the option to delete all inactive stock items or only items that have zero stock balances. You may not want to delete items for which you currently have stock on-hand.
