SpendMap includes an internal messaging system that can either complement or replace the use of e-mail when communicating with other SpendMap users.

Sending and Receiving Messages

You can send short messages (similar to e-mail) to other users with Send/Broadcast a Message.

This may be easier than using an external e-mail system as you can select users from the User Master File to send messages to (no need to maintain a list of e-mail addresses externally).

Recipients can then read their messages with Read Your Messages or in their e-mail software (see "Optional E-mail Integration", below).

Automatic Notifications

SpendMap can also send automatic notifications to users when certain events occur, such as an e-mail to a manager to let them know that they need to approve a requisition, an e-mail to the requisitioner if their request was rejected, an e-mail to the Buyer if an invoice discrepancy needs their attention, etc. 

Optional E-mail Integration

As an alternative to using the Read Your Messages Utility (which requires users to log into the system to pick up their messages), internal messages and notifications can be delivered by e-mail.

You can specify your message delivery preference in e-mail settings.

New Message Indicator

If messages are being delivered internally (as opposed to by e-mail), a “mailbox” indicator will be displayed in the bottom of the Main Menu when there are new messages waiting for you....
